Client & Project Overview
The client is a 150-bed multi-specialty hospital in Moradabad, Uttar Pradesh, serving patients across cardiology, nephrology, emergency care, maternity, orthopedics, and diagnostics.
Despite being a trusted name in the region, the hospital faced mounting supply chain challenges that were beginning to disrupt patient services and affect revenue.
With our 15+ years of expertise in ERP and healthcare digitization, we partnered with the hospital to design and implement a tailored Odoo-based Healthcare ERP solution.
The goal was to not just automate stock handling, but to create a future-ready digital supply chain system aligned with hospital operations, compliance needs, and patient safety standards.
Challenges & Objectives
The hospital’s consumables management relied heavily on manual registers and vendor goodwill. With rising patient footfall, this approach quickly became unsustainable.
Key challenges faced:
- Unreliable vendor supply — multiple local vendors with inconsistent delivery timelines.
- Stockouts of critical consumables like gloves, syringes, IV fluids, and dialysis kits during peak demand.
- Over-purchasing due to lack of centralized consumption visibility.
- Expired stock circulation, as there was no systematic batch or expiry tracking.
- Vendor reconciliation delays leading to disputes and payment backlogs.
- Lack of real-time data for management to anticipate shortages or negotiate vendor contracts.
Objectives defined together with hospital leadership:
- Build real-time visibility across the supply chain.
- Automate batch, lot, and expiry tracking.
- Introduce smart reordering rules to prevent both overstock and shortages.
- Digitize vendor performance monitoring.
- Ensure compliance and audit readiness with structured, transparent records.
- Create a foundation for scalable healthcare ERP adoption, beyond just consumables.
Scope of Work
To deliver measurable results, our scope extended beyond a typical inventory setup. The project included:
- Odoo Inventory & Purchase Module customization for healthcare-specific workflows.
- Batch & expiry date tracking with automated alerts.
- Vendor contract lifecycle management with performance scorecards.
- Automated purchase requisition system linked to reorder points and consumption analytics.
- Ward-level consumption capture, mapped directly to central stores.
- Mobile dashboards for storekeepers and department heads to access stock visibility.
- Integration with pharmacy & diagnostic labs to ensure synchronized supply-demand flow.
- Management reporting layer for financial and compliance tracking.
Solution Design & Implementation
Leveraging our proven healthcare ERP framework, the solution was built on Odoo but carefully tailored to the hospital’s realities.
- Inventory Automation: Centralized Odoo dashboards with real-time stock levels, reorder points, and auto-purchase requisitions.
- Batch & Expiry Tracking: Consumables now tracked at the lot level, with proactive expiry alerts to minimize wastage.
- Vendor Performance System: Custom-built vendor scorecards ranking suppliers on timely delivery, quality, and reliability.
- Consumption Linkages: Pharmacy and wards directly linked to central stock, preventing duplication and pilferage.
- Mobile Enablement: Lightweight mobile interface for floor managers and storekeepers.
- Compliance & Audit Readiness: Auto-generated reports for NABH/NABL audits, eliminating weeks of manual preparation.
Our 15 years of ERP expertise allowed us to go beyond “standard Odoo implementation” and instead deliver a healthcare ERP solution that seamlessly integrated procurement, consumption, finance, and compliance into one platform.
Execution Challenges
Every transformation project encounters real-world challenges. For this hospital, the primary hurdles were:
- Staff resistance to change: Nurses and storekeepers accustomed to paper registers were hesitant to adopt digital tracking.
- Vendor digital literacy gaps: Local vendors struggled initially with digital POs and performance dashboards.
- Data migration complexity: Historical stock records from scattered spreadsheets required extensive cleansing before import.
- Infrastructure bottlenecks: Weak network coverage in storage areas led us to implement offline sync modes in Odoo.
Through structured change management workshops, phased rollouts, and vendor onboarding sessions, these challenges were addressed without disrupting hospital operations.
Results & Impact
The impact was tangible, measurable, and immediate:
- 35% reduction in stockouts of critical consumables.
- 25% drop in wastage due to expiry alerts and FIFO (First-In, First-Out) tracking.
- 50% faster vendor reconciliation, reducing disputes and delayed payments.
- Audit preparation time cut by 70%, with NABH-compliant records available instantly.
- Operational cost savings of ~18% annually through smarter procurement.
- Improved doctor and patient trust, as consumables and medicines were consistently available.

Client Feedback & Innovations
The hospital’s Chief Administrator shared:
“Earlier, we were constantly firefighting — stockouts one week, over-purchasing the next. After implementing the Odoo Healthcare ERP designed by this team, we now run our supply chain with precision. Vendors take us more seriously, and audits that once scared us are now stress-free. This is a complete transformation for us.”
Innovations introduced during this project:
- Vendor scorecard for objective supplier evaluation.
- Ward-level digital consumption capture to prevent leakages and duplication.
- Mobile expiry alerts for floor-level staff to prevent circulation of expired stock.
- Offline-ready workflows in Odoo for network-poor hospital zones.
Key Learnings & Project Team
Key Learnings:
- Change management is as critical as the technology itself; staff adoption decides success.
- Vendor onboarding must be phased and supportive, especially in regions where digital maturity is low.
- Healthcare ERPs need to be modular and scalable, with supply chain digitization often being the entry point for larger digital transformation.
Project Team Composition:
- Senior Odoo Functional Consultant (Healthcare) (2) — Requirement gathering & process mapping.
- Odoo Technical Consultant (1) — Customization, integrations, and offline sync enablement.
- Healthcare Domain Expert (1) — Alignment with hospital operations, NABH/NABL compliance.
- Change Management Lead (1) — Staff/vendor training and adoption strategy.
